Help with QuickBooks and tax software

We support the computers, accounts and network your software runs on. For QuickBooks Online, QuickBooks Desktop Enterprise, Lacerte and Drake Tax, we check the setup, help staff regain access and bring in the vendor when a problem needs its application-support team.

QuickBooks Online and accountant access

A QuickBooks Online sign-in issue is different from an unavailable local company file. DreamMSP helps restore access to invoicing, reporting, and client bookkeeping by supporting the browser, workstation, internet connection, account, and related printing or scanning workflow.

Your firm controls the books and accounting permissions; we coordinate an application-side problem with Intuit when needed.

Client files and temporary staff

We help organize email, shared folders and client-file access around the staff doing the work. Seasonal employees receive the access the firm approves, with a planned handoff when their assignment ends. Our account-security guide explains the sign-in controls behind that process.

Lacerte, Drake and UltraTax CS support

A replacement computer needs to support the tax-year data, printers, scanners and sign-ins your staff use every day. For Lacerte, Drake Tax or UltraTax CS, we plan the supported workstation and network setup around the vendor’s requirements and your filing deadlines.

Upgrades and replacements include checks with staff before broader rollout. We coordinate application-specific problems with the software provider; tax preparation and accounting decisions stay with your firm.

QuickBooks Desktop company files and recovery

When a QuickBooks Desktop or Enterprise company file becomes unavailable, billing and bookkeeping can stop across the office. We troubleshoot the supported hosting, database service, network and permissions behind multi-user access, bringing in Intuit when application support is needed.

Backup planning accounts for the company data and a usable restored file. We help plan upgrades before an unsupported computer or application release forces a rushed replacement.

Keep client work moving through busy season.

Filing deadlines leave little room for an avoidable computer, printer, or sign-in problem. DreamMSP helps plan upgrades, renewals, and seasonal access before the rush, so your team can focus on client work.

We schedule changes around the applications, client files, printers, scanners, and staff workflows your firm relies on. When a software provider must be involved, we help keep the handoff clear.

IRS Publication 4557 provides tax professionals a taxpayer-data safeguarding checklist. The FTC lists tax preparation firms among examples of financial institutions under its Safeguards Rule. The firm and its qualified advisers determine applicability and its written information security plan (WISP); we can carry out the agreed technical work.

A tax preparer may need access to current and prior-year work while another employee handles bookkeeping and client intake. Those roles do not necessarily need the same files or software permissions. We help prepare the approved computers and accounts around the firm's actual workflow, including temporary staff, so access problems are addressed before a filing deadline becomes urgent.

Support the work staff need to complete

Planned changes account for the client files, printing, scanning and sharing tools staff need. We check the result with the firm and identify any remaining issue before a broader rollout.

Sharing work with bookkeepers and outside advisers

A client bookkeeper or external adviser may need selected records without access to the firm’s full workspace. We help implement the approved account and sharing arrangements around that relationship. The firm decides what may be shared and retained; application-specific permissions are coordinated with the tax or accounting provider where needed.

Build the IT budget around the full tax year.

An accounting firm's technology costs can rise before its busiest months. Temporary staff need working computers and software access; existing staff may need more capacity to open large client files or process returns. A useful budget separates that seasonal demand from the costs of supporting the permanent team.

We review those changes with the person managing the practice. The discussion covers the equipment already available, the applications that must remain usable and the purchases that can wait. Your firm can then make those decisions before a deadline forces the most convenient option.

Capacity for seasonal staff

An unused computer may still need updates, setup and the right software before a preparer can use it. We help assess whether existing equipment can serve the coming season and identify any license or vendor work needed. The proposal can distinguish temporary additions from the ongoing support fee, including what happens to those devices and accounts when the season ends. That makes the cost of adding a preparer easier to understand.

Prior-year work and future renewals

A workstation refresh should account for the older returns and supporting records the firm still needs to open. We discuss those needs before retiring a computer or changing a hosting arrangement, involving the tax-software provider where necessary. Renewal dates and supported application versions also belong in the planning conversation. The firm determines its retention obligations; we help plan the technology needed to use the records it keeps.

Before you get started

Questions about accounting firm managed IT support.

Have a question about your own setup? Talk with Charles.

Can changes be planned around filing deadlines?

We discuss your busy periods during discovery and schedule planned work around agreed windows. Urgent security or stability issues may need a separate decision about timing and risk.

How should temporary staff access client files?

Your firm decides which clients and tax-year records each preparer needs. We help set up the approved accounts and computers before their assignment starts, including access that needs the tax-software provider. When the assignment ends, we remove the agreed access while keeping firm-owned work available to the permanent team. Sharing a partner’s sign-in makes that handover harder and can give a temporary employee more access than intended.

Is QuickBooks Online support different from QuickBooks Desktop support?

Yes. QuickBooks Online issues may involve browser compatibility, internet access or account permissions. A supported QuickBooks Desktop or Enterprise setup can also depend on a local or hosted company file, a database service and multi-user network access. We identify your edition and hosting arrangement before troubleshooting, while your firm retains responsibility for accounting decisions.

Can you take over our IT while we keep our existing QuickBooks and tax software?

Yes, we can discuss supporting the existing setup rather than assuming it needs replacing. We review the editions, hosting and current support arrangements for QuickBooks, Lacerte, Drake or other applications your firm uses. Planned handover work is timed around filing deadlines, with any necessary software-vendor involvement agreed in advance.

Do we still need the tax-software vendor if we hire an IT company?

Yes. We handle the agreed computer, account and connection work and help coordinate problems that need the application's support team. Tax calculations, product defects, licensing decisions and tax advice remain with the relevant software provider or your firm. Hiring an MSP does not replace those relationships.
